Privacy notice

This notice explains what personal information we collect when you use adesenergy.co.uk, why we collect it, what we do with it, and what rights you have. We have written it in plain English. If anything here is unclear, email us and we will explain it.

For data protection purposes we are the data controller. That means we decide what personal information is collected and what happens to it, and we are responsible for looking after it. We are not required to appoint a Data Protection Officer and have not appointed one. Privacy questions go to the address above and are handled directly.
What we collect, and when
When you use our contact form, we collect
1. Your name
2. Your email address
3. Your phone number and
4 Whatever you write in the message field.
We ask for these because we cannot reply to an enquiry without a name and a way to reach you. We do not ask for anything we do not need in order to respond.
Giving us these details is voluntary. There is no legal or contractual obligation on you to use the form. The only consequence of not providing them is that we will not be able to reply.
When you visit the website, our hosting and security providers automatically process technical information such as your IP address and browser type. This happens for every website you visit and is necessary to deliver the page to you and to keep the site secure.
When you submit the contact form, it is checked by a spam-protection service provided by Cloudflare, which confirms the submission comes from a person rather than an automated bot. This check processes your IP address and basic browser information for that purpose only. It is not used to identify or track you.
If you consent to analytics cookies, we collect information about how the site is used, which pages are visited, how people arrive, how long they stay. This is not collected unless you accept analytics cookies in our cookie banner. See our Cookie Policy for detail. We do not collect special category data (such as health, ethnicity or political opinions), and we do not knowingly collect information from children.
Why we use it, and our legal basis
The law requires us to have a specific legal basis for using your personal information. Ours are set out below.
What we do: Reply to your enquiry and have any follow-up conversation about it
Information used: Name, email, phone, message
Legitimate interests: You have contacted us and expect a reply. We cannot provide one without your contact details.
What we do: Keep the website running and secure
Information used: Technical data such as IP address
Legitimate interests: Operating a functioning, secure website
What we do: Understand how the website is used so we can improve it
Information used: Analytics data
Consent: collected only if you accept analytics cookies, and you can withdraw at any time
We will not email you about anything else
If you contact us, we will use your details to answer you and to continue that conversation. That is all.
We will not add you to a mailing list, send you offers, or contact you about anything unrelated to the enquiry you made, unless you separately and explicitly ask us to. If we ever introduce a mailing list, joining it will be a deliberate action you take, never a box that is already ticked, and never a consequence of having contacted us.
How long we keep it
We keep enquiry records for one year from our last contact with you. Our website platform does not delete submissions automatically, so this is a manual routine: we review stored enquiries every three months and delete anything that has passed the one-year point. That means a record may sit for up to three months beyond a year before it is removed. We delete from both places an enquiry is held, the website platform and our email. If you become a customer, we will keep records for longer because we are legally required to retainbusiness and financial records. We will tell you how long at the point that applies. You can ask us to delete your information sooner. See "Your rights" below.
Who else handles your information
We use a small number of third-party providers to run the website and our email. They process personal information on our behalf and under contract, and they are not permitted to use it for their own purposes.

We do not sell your personal information, and we do not share it with advertisers or data brokers. We may disclose information if we are legally required to, for example in response to a court order, but this has not happened and we do not expect it to.
Information sent outside the UK
Three of the providers above are based in the United States, so your information may be transferred there.UK law permits this only where specific safeguards are in place. Below is what each provider relies on.

Safeguard relied on: Certified under the UK Extension to the EU–US Data Privacy Framework. Its data processing agreement also incorporates the EU Standard Contractual Clauses and the UK International Data Transfer Agreement as fallbacks.
Provider: Google (Workspace and Analytics)
Where: United States and EU
Safeguard relied on: Google LLC has been certified under the UK Extension to the EU–US Data Privacy Framework since 16 September 2024. Its data processing terms also incorporate the Standard Contractual Clauses.
Provider: Cloudflare
Where: United States
Safeguard relied on: Certified under the UK Extension to the EU–US Data Privacy Framework. Its data processing agreement also incorporates the EU Standard Contractual Clauses together with the UK International Data Transfer Addendum.
Provider: Cookiebot Usercentrics
Where: European Union
Safeguard relied on: No safeguard of this type is required. Consent records are processed on servers within the EU, and the UK recognises the EU as providing an adequate level of protection.
What those terms mean.
The Data Privacy Framework is an arrangement recognised by the UK government under which certified US companies commit to protecting information to UK standards. Standard Contractual Clauses and the International Data Transfer Agreement are contracts that impose equivalent obligations directly. Either way, the provider is legally required to protect your information to UK standards regardless of where it is held.

We use cookies and similar technologies. Cookies that are strictly necessary for the site to work are set automatically. Analytics cookies are only set if you accept them. Full detail, including the current list of cookies and how to change your choices at any time, is in our Cookie policy
Your rights
Under UK data protection law you have the following rights. All of them are free to exercise.
Access: ask for a copy of the personal information we hold about you
Rectification: ask us to correct anything inaccurate or incomplete
Erasure: ask us to delete your information
Restriction: ask us to pause using your information while a question about it is resolved
Objection: object to us using your information where we rely on legitimate interests
Portability: ask for your information in a portable format, where it was provided by you and processed by automated means
Withdraw consent: where we rely on consent, such as analytics cookies, you can withdraw it at any time and it is as easy to withdraw as it was to give
We do not use automated decision-making or profiling. To exercise any of these rights, email contact@adesenergy.co.uk. We will respond within one month. If a request is unusually complex we may need longer, and we will tell you within that first month if so.
Complaints
If you are unhappy with how we have handled your personal information, please tell us first, email contact@adesenergy.co.uk and we will look into it.

Complaining to us first is not a requirement. You can go to the ICO at any point.
Changes to this notice
If we change how we use personal information, we will update this notice and change the date at the top. Where a change is significant, we will say so rather than quietly amending the text.
